Job DescriptionPosition Summary:This position will work closely with the VISTA Member Experience Coordinator, Outreach & Recruitment Coordinator and VISTA Program Director to ensure overall project success.
The VISTA Sub-site Coordinator will be responsible for supporting departmental supervisors to ensure successful project recruitment, development, and management.
Essential Functions
Lead cross-departmental trainings, meetings, and communications with City departments to develop three-year VISTA projects and AmeriCorps grant application materials that are in compliance and high quality
Manage project and supervisor workshops and trainings for City departments who host VISTA members
Support departments and Program Director with project development and VISTA Assignment Description development
Execute general upkeep in compliance with grant requirements and regulations as needed
Support the Serve team’s strategic efforts to increase diversity of VISTA applicants and decrease barriers to service
Work with Program Director to identify City needs that could be met with VISTA support, including continuing work on the Opioid Crisis and supporting new efforts for COVID-19 recovery
Support City departments through the project development process by maintaining communication and deadlines
Conduct quarterly site visits with VISTA supervisors to ensure compliance and support for members with support as needed from the Program Director
Coordinate review process for Serve VISTA Project proposals
Train new and returning VISTA Supervisors on program procedures and protocols
Support departments and supervisors in recruitment and member selection
Provide ongoing support to supervisors and sites
Support program expansion through relationships, training, and innovative tactics
Work with the Director to develop and implement an evaluation tool to evaluate success
Act as a representative of Serve Philadelphia on the National Service Task Force.
Supervise at least 1 VISTA Leader; work with fellow coordinators to create a VISTA Leader supervision framework

Ability to mediate, problem solve, and coach supervisors to support and develop VISTAs
Understanding of progressive workforce development principles
Ability to successfully work with others as a part of a team.

Clear understanding of best practices in community engagement and volunteer recruitment/retention.
Demonstrated coalition and partnership building skills
Identifying opportunities to strengthen existing programs, create and/or enhance implementation strategies, and work with a diverse team to implement action plans.
Action oriented; an individual not afraid to roll up their sleeves and get into the details of the operation.
Excellent time management skills with capacity to work simultaneously on multiple tasks and projects and deliver on deadline.
Comfort working with data and digital systems.
Ability to build new and maintain existing collaborative relationships with stakeholders.
Excellent people-centered customer service skills
Additionally, the Sub-site Coordinator should demonstrate:
Ability to mediate, problem solve, and coach supervisors to support and develop VISTAs
Understanding of progressive workforce development principles
Qualifications
At least 2-3 years of experience in program coordination
Complete a mix of telework and in person duties
AmeriCorps service experience is preferred, but not required

The successful candidate must be a city of Philadelphia resident within six months of hire
